Use this guide with coaching, sports medicine, performance, administration, IT, privacy, and procurement. The goal is a scoped decision—not a feature-count exercise.
Which daily decisions are hard to coordinate now? Which roster view would help without creating a leaderboard?
Which injury, recovery, clearance, fueling, and messaging workflows belong in each separately consented relationship?
What data categories, state laws, contracts, retention rules, BAA questions, and incident processes apply to this pilot?
Which identity, roster, calendar, training-plan, and connected-provider systems are in scope? What security review is required?
What roster band, seats, support, implementation window, budget path, and success criteria define a useful pilot?
Document scope, roles, permissions, systems, support, notices, success measures, and data-handling requirements.
Run at least one full check-in → roster review → human follow-up cycle. Review access and friction with athletes and staff.
Decide whether to expand, revise, pause, or end. Define export, deletion, retention, and communication steps for every outcome.
